Nonprofit Bookkeeping in Las Vegas
Fund accounting with your annual list, sales tax exemption and grant reporting on one calendar. Ready when a funder asks for an audit.

Why Choose Orbit for Las Vegas Nonprofits?
Orbit Accountants provides fixed-fee nonprofit bookkeeping and outsourced nonprofit accounting services for Las Vegas and Clark County 501(c)(3) organizations and foundations. Books run on QuickBooks Online or Xero on a nonprofit chart of accounts aligned to FASB ASC 958 and the Form 990. Every month you receive a Statement of Activities, Statement of Financial Position, Statement of Functional Expenses, net asset roll-forwards and grant budget-to-actual reports. At year end your Form 990 workpapers and your audit or Single Audit PBC package are already built. Fees are fixed and agreed before work starts, monthly plans from $595.
Why Las Vegas Nonprofits Choose Orbit for Bookkeeping and Accounting
Nevada is a light-touch state, and that is exactly what catches organizations out. There is no state income tax to be exempted from, so nothing forces the conversation - but the sales tax and Modified Business Tax exemptions still have to be claimed, and the Secretary of State's annual list runs on your incorporation anniversary rather than your fiscal year. With no state audit threshold, the pressure comes instead from funders and federal awards. We keep the books on a fund-accounting structure and hold both calendars.
Annual list on your incorporation anniversary
Sales tax and payroll exemptions claimed, not assumed
Donor-restricted vs. unrestricted net assets
Funder- and Single-Audit-ready books
Nevada asks less of you than California or New York, which is why the state layer here is so often left undone. Your books should carry the exemptions you actually hold - and the filing date Nevada set when you incorporated, not the one your 990 runs on.
Key Nevada Definitions
The Nevada-specific concepts we build into your Las Vegas nonprofit's books from day one.
Annual List & Charitable Solicitation Statement
Nevada nonprofit corporations file an annual list of officers with the Secretary of State by the last day of their incorporation anniversary month. Organizations that solicit tax-deductible contributions file a charitable solicitation registration statement with it, using figures from the latest Form 990. Organizations that qualify for an exemption still file the exemption statement.
Sales & Use Tax Exemption
Nevada does not exempt you automatically. A nonprofit created for religious, charitable or educational purposes applies to the Department of Taxation for a letter of exemption. The letter lasts five years and must be renewed, and it only covers purchases made after it is issued. Nevada updated the qualification tests from July 1, 2025.
MBT and Commerce Tax
Nonprofits exempt under section 501(c) are excluded from the Modified Business Tax and exempt from the Commerce Tax. We confirm your Department of Taxation account reflects that, so you do not receive returns or notices you do not owe.
Net Assets With & Without Donor Restrictions
The FASB ASC 958 classes behind every funder report. We record releases from restriction as purpose and time conditions are met, with a monthly roll-forward your auditor can use directly.
How It Works
A structured onboarding process that gets your filings back on track quickly, without the back and forth.
1. Discover & clean-up
We map your funding streams and their restrictions, which Nevada exemptions you actually hold, and where your incorporation anniversary falls.
2. Systems & fund mapping
QuickBooks Online or Xero with Dext or Hubdoc, on a nonprofit chart of accounts with classes for funds, grants and programs.
3. Monthly close & KPIs
Reconciliations, net asset roll-forwards, functional expense allocation, program and fund reports, and cash KPIs.
4. Nevada filings & exemptions
The annual list and charitable solicitation statement in your anniversary month, the business license fee exemption claimed, the sales tax exemption letter applied for or renewed, and your MBT and Commerce Tax status confirmed.
5. Audit, 990 & board support
Tidy prepared-by-client (PBC) packages, a Schedule of Expenditures of Federal Awards where federal awards apply, Form 990 workpapers and board deck support.
6. Orbit Portal
Secure uploads, requests, approvals and status in one place, so a new treasurer can see what is outstanding on day one.

Nonprofit bookkeeping in Las Vegas
Why a light-touch state is the one organizations most often leave half-done
Nevada's annual list date, the exemptions you have to claim, and the audit that arrives from a funder rather than a statute - explained for treasurers. There is no state income tax here, so nothing forces the state conversation, and organizations routinely discover years later that the sales tax exemption was never applied for.

Frequently Asked Questions
No. Nevada has no corporate or personal income tax, and 501(c) nonprofits are also excluded from MBT and exempt from the Commerce Tax.
By the last day of your incorporation anniversary month, filed with the Secretary of State with your charitable solicitation statement.
Until the Department of Taxation issues your exemption letter, yes. The letter lasts five years and must then be renewed.
Nevada sets no revenue threshold. Audits come from funders, grant terms, your bylaws, or a Single Audit at $1,000,000 of federal spending.
Yes. Monthly plans start at $595, with the fee agreed before we start and any cleanup quoted separately.
Under 20 days for most clients, on a close date agreed before onboarding.
Through the Orbit Portal, so a new treasurer can see what is outstanding on day one.
Sales and use tax is the one that has to be applied for and renewed. A nonprofit created for religious, charitable or educational purposes applies to the Nevada Department of Taxation for a letter of exemption. The letter lasts five years, must be renewed, and does not cover tax paid before it was issued. Plenty of organizations never apply and pay sales tax for years on purchases the letter would have covered.
Yes, if you are exempt under section 501(c). Nonprofits are excluded from MBT by statute. We check that your Department of Taxation account carries no MBT filing requirement, so you do not receive delinquency notices for a tax you do not owe.
501(c) nonprofits are exempt from the state business license fee, but the exemption is claimed by checking the 501(c) box on the annual list rather than applied automatically. We confirm it is on file every year.
The corporation's good standing with the Secretary of State lapses, and restoring it costs more than the filing would have. Because the date runs on your incorporation anniversary rather than your fiscal year, it is the single easiest Nevada deadline to lose track of.
Yes, with some differences. 501(c)(3) employers are exempt from federal unemployment tax (FUTA) and excluded from MBT, but still withhold income tax and pay Social Security and Medicare. Nevada unemployment insurance still applies, and 501(c)(3)s can generally elect to reimburse the state for benefits paid instead of paying quarterly contributions. See our payroll management service.
We prepare the workpapers and the financial statements behind them, and manage payroll and 1099 reporting. The returns and registrations themselves are handled by our tax team or coordinated with your counsel or filing agent. See our tax and compliance services.
We track grant funds by award, monitor budget against actual, record releases from donor restriction, and prepare the compliance reports funders require, so you stay in good standing with grantors and know how much of each award remains.
When your organization spends $1,000,000 or more in federal awards in a fiscal year beginning on or after October 1, 2024 (2 CFR 200.501). It counts money spent, not awarded, across all federal awards combined. Some agencies apply earlier terms to older awards, so confirm the position with your auditor. It is the most common route to a first audit in Nevada.
Monthly plans start at $595, agreed before work starts and based on transaction volume, the number of funds and grants, and whether you need audit or Single Audit support. No hourly billing and no surprises at year end. See pricing.
Experience with nonprofit clients, working knowledge of FASB ASC 958 and the Form 990, a monthly close you can plan a board meeting around, and an audit PBC package that is ready before fieldwork starts. Ask to see a sample monthly pack before you sign.
Yes, and it is a common starting point. We begin with catch-up and cleanup, including rebuilding fund and net asset tracking, then move you into a structured monthly reporting cycle. Catch-up and back filings are scoped and priced separately from the ongoing fee. See our catch-up bookkeeping service.
